Job Summary
Geon Asia Systems SB is looking for a proactive and highly organized Operations Manager to support and strengthen our operational coordination, workflow management, and process governance across the organization.
This role focuses on manpower coordination, workflow implementation, task scheduling, SOP standardization, document control, and operational digitalization using Monday.com to ensure smooth cross-department collaboration and operational efficiency.
You will work closely with the Managing Director, Head of Projects, and Head of Technical Support to streamline internal processes, improve operational visibility, and ensure smooth execution of operational workflows across teams.
Key Responsibilities
Operations Coordination & Workflow Management
1. Report directly to the Managing Director on operational workflow performance, manpower coordination, and process improvement initiatives.
2. Lead and oversee daily operational coordination across the Operations Admin Team, Resident Engineers, Resident Technicians, Technicians, and After-Sales operations to ensure smooth workflow execution, scheduling efficiency, and operational consistency.
3. Work closely with the Head of Technical Support to coordinate technical support activities, manpower scheduling, service workflows, and cross-department operational alignment.
4. Develop, implement, and continuously improve operational workflows and coordination processes to ensure smooth execution, cross-department efficiency, service consistency, and operational scalability.
5. Manage manpower planning, task assignment, technician scheduling, attendance coordination, and operational workflow execution.
6. Oversee manpower deployment, operational scheduling, and resource allocation for Resident Engineers, Resident Technicians, and operational support teams.
7. Conduct operational meetings, workflow reviews, progress tracking, and coordination follow-ups with internal teams.
8. Ensure operational activities are aligned with company SOPs, workflow standards, and service commitments.
Workflow Digitalization & Process Improvement
1. Lead company workflow digitalization initiatives using Monday.com to improve workflow visibility, collaboration, and operational efficiency.
2. Design and implement SOPs, workflow structures, automation processes, dashboards, and reporting systems across departments.
3. Manage workflow structures, automations, task tracking, and reporting tools within Monday.com.
4. Drive process standardization and workflow governance to improve efficiency, accountability, scalability, and service quality.
5. Continuously monitor and improve operational workflows, coordination processes, and internal efficiencies.
6. Work closely with department heads to ensure successful implementation and adoption of operational systems and workflows.
Operational Governance & Document Control
1. Work closely with the Head of Projects and Head of Technical Support to support operational coordination, workflow alignment, and service administration processes.
2. Coordinate and maintain proper document control for UAT, SLA, contractual, and operational documentation to ensure accuracy, compliance, traceability, and proper governance.
3. Work closely with internal departments, clients, vendors, and the company’s legal advisor to support documentation review, compliance alignment, and operational risk management.
4. Monitor SLA workflow coordination, preventive maintenance schedules, response timelines, and service coordination processes.
5. Support project handover documentation, service reporting, operational records management, and administrative coordination.
6. Ensure proper operational documentation, workflow records, and service records are maintained accurately and systematically.
Asset & Compliance Management
1. Oversee tracking and coordination of demo units, POC equipment, operational tools, and company IT assets, including allocation, maintenance, and internal coordination.
2. Support ISO or operational compliance initiatives and internal governance improvements.
3. Ensure operational practices comply with company policies, workflow standards, safety requirements, and client expectations.
Requirements
1. Bachelor’s degree in operations management, Business Management, Engineering, Information Technology, or related fields.
2. Minimum 5 years of experience in operations coordination, workflow management, service coordination, project administration, or operational governance.
3. Experience in manpower coordination, task scheduling, SOP implementation, workflow optimization, and operational process management.
4. Hands-on experience using Monday.com, ERP systems, or workflow/project management platforms.
5. Strong organizational, multitasking, coordination, and problem-solving skills.
6. Strong communication and cross-department coordination abilities.
7. Process-driven mindset with strong attention to detail and workflow governance.
8. Able to manage multiple operational priorities in a fast-paced environment.
9. Proficiency in Bahasa Malaysia, English, and Mandarin is required to liaise with Mandarin-speaking clients, suppliers, and internal stakeholders.
